Job Description

Office and Facilities Manager

My global client is looking for a new member to join their team.

You will be responsible for overseeing building facilities ensuring that they meet the needs of the growing organisation and its employees. This will include managing contractual relationships, health and safety and project work, as well as liaising heavily with internal stakeholders across the Group. This role also involves ensuring the provision of front of house management and office administration is performed seamlessly and efficiently.

Key Responsibilities

Office Administration

  • Front of house meet & greet, including answering reception phone, dealing with visitors to the office, offering refreshments and organising passes as required.
  • Servicing of meeting rooms ensuring they are ready for meetings and cleared away afterwards. Arranging coffee/refreshments and external catering as requested.
  • Management of parking for employees (on site and off site) and for visitors to the office.
  • Management of courier requests and booking of outgoing deliveries; dealing with incoming courier deliveries.
  • Handling incoming post; preparation and franking of outgoing post.
  • Ordering of office supplies including stationery orders, milk, fruit etc
  • Regular monitoring of office and catering supplies
  • Refilling kitchen beverages as required; ensuring coffee machine is topped up and working properly
  • Arranging team dinners and events, as required, including organising internal and external meetings, reserving meeting rooms/venues, reception of visitors where appropriate

Travel

  • Implement and manage health and safety requirements in coordination with global management
  • Coordination of travel for employees and some visitors, including booking flights, hotels, and taxis as appropriate.
  • Oversee and manage the Corporate Travel provider, including the facilitation of regular reviews
  • Supervise the process of making complex visa applications, letters of invitations and supporting correspondence
  • Act as Key UK contact for managing visiting overseas government officials (including visiting delegates for long term training) and planning their visits in terms of their preferred cars, hotels, per diems and special arrangements and understanding of their protocol

Facilities

  • Oversee providers for services relating to the UK office including conducting regular service reviews.
  • Facilitating desk moves within the office.
  • Liaising with building management to oversee and organise office maintenance and repair work e.g. office facilities, air conditioning, communal facilities, lighting etc.

You will be hands on, a team player and enjoy being a central key member of the team.

This is a full time - Monday to Friday - office based role!
