Full Time Receptionist

My client is looking for an experience Full Time - Receptionist - MOnday to Friday

You will be responsible for operating multi-line telephone system to answer incoming calls. Direct the caller to appropriate personnel and help rectify any issues the caller has. Greeting visitors in a professional manner be they customers, internal Op-Co or delivery drivers. You must be a a good problem solver, being able to be proactive to the needs of the departments serviced within Epsom.

Job Accountabilities


  • Ensure visitors are greeted and telephones are answered and processed in a professional manner.
  • To control the meeting rooms and visitor office/hot desk allocation. Orders lunches where requested.
  • Liaise with fire wardens to account for all staff and visitors during a fire drill.
  • Issue key fobs and alarm codes and keys to staff upon authorisation by senior staff.
  • Organising house maintenance for services by electricians, plumbers, handy man etc.
  • Arranging repairs for office equipment such as photocopiers, fax machines and telephones alongside IT.
  • Liaising with the cleaners and ensuring stock of cleaning equipment/consumables for the toilets and kitchen, dishwasher, microwave, toaster and hot water machine.
  • Testing the fire alarm/panic alarm each Thursday at 11am.
  • Housekeeping of post room and store room.
  • To open/close the building in the mornings/evenings unlocking/locking front door.


  • Provide ad hoc administration where required by the business.
  • Ordering Stationery once authorised.
  • Organise delivery of paper/envelopes and toners for the photocopiers/faxes.
  • Sort incoming post.
  • Prepare outgoing post.
  • Ensure franking machine is topped up with postage.
  • Book couriers when required. Ensure authorisation slips are signed.
  • Order hire cars where requested and authorised.
  • Book hotels where requested and authorised. Preferred hotel is Premier Inn as we have an account.
  • Place fortnightly staff sales orders.
  • Daily on-line parking fines/congestion charge payments.
  • Monthly parking fine reconciliations - sorting and obtaining current statements.
  • Administration changes on the BCS Mitel phone system.

Perform other duties as assigned by management from time to time
